How to write a covering letter

A CV should always be accompanied by a covering letter. It is not an optional extra. This is usually your first point of contact with an organisation and it sets the scene for your attached CV. You have a limited number of paragraphs to sell yourself so you need to ensure that you add relevant information. A covering letter should not replace your CV so ensure that you keep it to the point. The following tips should go some way towards getting the employer to read your CV and invite you to an interview.

Addressing the letter

It is always better to address your letter to a named individual. If you are unsure who to address the letter to, contact the company and ask. Ideally, keep your letter to one side of A4 and ensure that you include your address using a formal letter template.

Introduce the purpose of the letter

Explain which role you would like to apply for and say where you saw the advertisement (Some organisations appreciate this as it indicates which of their advertising methods are working). Explain to the recipient of the letter who you are and refer them to the CV you have enclosed.

Tell them why you want the job

State your enthusiasm for the job. Pick out three or four of the key qualities the employer is looking for in the job advert and provide them with evidence as to how you meet and possibly even exceed their needs. At this point explain any relevant experience or achievements.

Tell them why the company should hire you

Include in this paragraph details about your skills and experience. Be careful not to purely regurgitate the information contained in you CV. Tell the company what you will do to add value to their organisation.

Conclusion

State when you would be available for interview and summarise by acknowledging that you have enclosed a CV. Thank the organisation for considering your application and tell them that you look forward to hearing from them. Use 'Yours faithfully' if you have addressed the letter 'Dear Sir/Madam' or 'Yours sincerely' if you used the individual's name. Ensure that you proof read your letter for any mistakes and that you present it well. If sending the covering letter by e-mail you can remove the addresses from the top of the letter. When applying electronically, remember to use the subject line to best effect as this will be the first thing the recipient sees.
